Compare the scope, not just the headline price
Ask exactly what will be ground and how deep
Confirm whether the quote covers only the central stump, the visible root flare, selected surface roots, or a larger excavation area. Ask how the proposed depth relates to the final use of the space and what may remain below grade.
A provider should be able to explain practical limits near concrete, structures, utilities, irrigation, rocks, fences, living roots, or other obstacles. Stump grinding does not automatically remove the complete underground root system.
- What part of the stump and root flare is included?
- What depth is planned and why?
- Which roots are outside the scope?
- What changes if hidden obstacles are found?
- Is full excavation needed for the next project?
Ask how the property and buried features will be handled
Discuss the full route, equipment width, surface protection, soft ground, slopes, narrow turns, gates, overhead clearance, and nearby structures. Identify who is responsible for moving objects, unlocking access, marking private lines, and securing pets or residents.
Ask what utility-locate steps are required and how private irrigation, lighting, pool, septic, and other non-public systems must be identified. Never assume a public locate covers every buried feature on the property.
Ask what cleanup and restoration are included
Grinding can produce a mixture of wood chips, roots, and soil. Confirm whether material will be left in the cavity, consolidated, partially removed, fully hauled away, or replaced with imported soil. Ask whether final grading, compaction, seeding, sod, rock, turf, irrigation repair, or hardscape work is included or separate.
For construction or landscaping, share the next contractor's requirements. The stump provider should not guess at structural excavation, subgrade, footing, slab, wall, drainage, or planting specifications.
Confirm qualifications, written terms, and change conditions
Ask who will perform the work, whether the provider carries appropriate insurance for the work being proposed, and whether any license or permit requirement applies to the specific scope. Requirements can vary by work type and jurisdiction, so confirm them directly rather than relying on assumptions.
Get the scope, exclusions, price structure, payment terms, scheduling window, cancellation policy, and change-order process in writing. Ask what happens if the stump dimensions, quantity, access, buried features, cleanup, or requested depth differ from the original information.

Common questions
Frequently asked questions
Should I ask for proof of insurance?
It is reasonable to ask whether the provider carries appropriate insurance for the work being proposed and to request documentation when needed for your property or organization.
Should the quote list grinding depth?
Yes. The quote should explain the planned depth or at least the intended finish and any limits created by roots, obstacles, utilities, or the next project.
Is cleanup always included?
No. Chip handling, haul-away, backfill, grading, and landscaping vary by provider and should be confirmed in writing.
Who identifies private irrigation or utility lines?
Responsibility should be discussed before work. Public utility locating may not identify private systems such as irrigation, lighting, pool lines, or septic components.
What should happen if the scope changes onsite?
The provider should explain the change, any price impact, and the revised scope before additional work is approved.
